The role…

Arena International Healthcare Events, part of GlobalData Healthcare, runs 25 + international market leading conferences every year across a variety of sectors. Our growing international portfolio spans the UK, US, Europe and Asia.

Reporting to the Head of Event Operations and Delivery, we’re looking for an experienced, hands-on Senior Operations Manager who thrives on detail and has a passion for delivering excellence. You must be confident in managing and coordinating all processes and procedures associated with running multi-streamed, conferences and exhibitions.

Our event portfolio is in person and therefore flexibility to travel is a must. (6-8 events/year across the US, Europe and Asia) Experience of delivering live conferences and exhibitions will be essential to be successful in this role.

What you’ll be doing…

  • Lead end to end event planning and onsite delivery of 6-8 events per year
  • Budget ownership of assigned portfolio including post event reporting
  • Venue sourcing and negotiating contracts
  • Supplier sourcing, negotiation and procurement. Leveraging and building partnerships
  • Planning and fulfilment of all services including AV, signage, F&B, staging, branding, travel, onsite materials and delegate packs
  • Preparing and coordinating client comms - sponsors, delegates, speakers and associated partners
  • Internal team liaison and collaboration with sales, delegate sales, marketing, design and finance
  • Financial reporting, processing invoices, commissions, budget reconciliation
  • Liaison with the design department to ensure timely and accurate production of signage, catalogues, and all event content
  • Managing the event APP and lead capture services
  • Industry research, driving new initiatives to support team development

What we’re looking for…

  • Proven experience working with the events industry - conference/exhibition/meeting formats preferably (3+ years)
  • High attention to detail
  • Financial acumen, experience managing budgets up to £250k preferred
  • Excellent communication skills – being able to liaise with all departments as well as work with multiple suppliers
  • A proven ability to work to tight deadlines, with attention to detail under pressure on multiple events at once
  • Excellent time management and organizational skills with experience of reporting on activity.
  • High level of IT competency, including word and excel
  • Excellent interpersonal skills – ability to deal with a wide range of stakeholders
  • Ability to prioritise, plan and organize workload often with conflicting time constraints
  • Flexible team player, with the ability to work under pressure to short deadlines
  • Ability to use initiative and work largely self-directed
  • People management, experience of managing direct reports
  • Negotiation skills
